Email and Mail Server Settings
Electronic mail (email) is a system used to send and receive messages over the Internet. Email is sent to your private mailbox which can be read once you check your mail. When email is downloaded it can be kept on your PC until deleted. As in postal mail you need an address to send and receive email. Using an email address you can transmit and receive messages to people around the world in seconds. Our Internet services include email addresses upon request.
What are Email Servers?
- SMTP (Outgoing) Mail Server (Simple Mail Transfer Protocol)
The SMTP server lets you send your email through the Internet. When you set up your software to send email it will send it to (the SMTP) server which in turn routes your email to its destination. The ISP providing you with Internet access normally provides your SMTP server. We also provide SMTP services to customers who must use another ISP when travelling. This avoids the inconvenience of changing SMTP servers when away from the office.
- POP3 (Incoming) Mail Server (Post Office Protocol)
The POP server hosts your email. It receives and stores your email until you download it to your pc using an email program. Once removed from the POP server email cannot be retrieved again. Some email clients include the option to leave a copy on the POP server for a specific number of days. We also provide our customers the ability to read email using a web browser. In this case the email stays on the POP server and is managed with the browser.

General Email Set-up
The following steps are necessary to set-up your email software to send and receive email. Preferences can be explored at your leisure.Reminder: We support our mail servers and not email software.
- Settings
Open your email application. Go to the SETTINGS window or menu. It will contain fields for the POP3 (Incoming) and SMTP (Outgoing) mail servers. - Set-up Incoming Mail (Receiving Mail)
a. POP3 (Incoming) Mail Server - Type your POP Server in the POP3 (Incoming) Mail field. This is also referred to as your Mail Host.
ie. skywaywest.netb. POP3 Email Username - Type your Email address in the Username field.
e.g. username@yourcompany.comc. Email Password - Type your Password in the Email Password field.
If there is not a password field you may be prompted for the PW before checking for mail.You are ready to download (pick-up or check) your email.
- Set-up Outgoing Mail (Sending Mail)
a. SMTP (Outgoing) Mail Server - Type our SMTP Server in the SMTP (Outgoing) Mail Server field.
mail.skywaywest.netb. Email Address - Type your Email Address in the Reply or Return Address field.
Some settings do not require this step if your return address is the same as your username@yourcompany.comYou are ready to send email.

Email Applications Help
The following instructions were obtained from the web sites of some commonly used email programs. We do not support the email programs but hope this section will help you set-up and trouble shoot your email. Customer Support will try to answer any further questions you have. You may need to consult your internal computer support or the software company.

Eudora Mail Setup Information
Qualcomm's Eudora Mail is a Windows and Mac based email application. There are many different versions of Eudora Mail with slightly different interfaces. The following guide was developed using Windows 32-bit Eudora Light v3.0.1. Eudora Light is a freeware version and Eudora Pro is the fully registered/supported version from Qualcomm.
- Start Eudora Mail.
- From the Menu Bar select Tools then Options or Special then Settings to get to Eudora setup menu.
- On the left side click Getting Started :
- The POP Account field should be your_pop_username@your_pop_server (Eudora sometimes combines the Email username and Pop server into one setting)
MAC users need to fill in 2 fields:
a) Username (ie. the "support" in support@skywaywest.com)
b) Mail Host (ie. skywaywest.com or yourdomain.com)
- Enter your name in the Real Name field (optional)
- Choose the option Winsock (Network, PPP, SLIP) if listed under the Connection Method.
- Enter a different email address in the Return Address Field if it is not username@mailhost
- The POP Account field should be your_pop_username@your_pop_server (Eudora sometimes combines the Email username and Pop server into one setting)
- On the left side click Personal Info if applicable to your version and verify:
The Pop Account and Real Name fields should already be filled in.
The Return address should list your Email Address.
Leave fields for Dial-Up Username blank (this cannot be used). - On the left side click Hosts:
The POP account should already be filled in.
Type your SMTP server name in the SMTP field.
The Ph and Finger servers should be left blank. - On the left side click Checking Mail:
The POP account should already be filled in.
"Leave mail on server" should NOT be checked.
All other options here are preferences except the Authentication Style which should be "Passwords". - All other settings in Eudora are preferences. Many options and features can be learned at your leisure. Try the Help feature in Eudora as a reference for any other questions.
Netscape Communicator 4.x Mail & Groups Preferences (Setup Information)
- Start the Netscape "Profile" you would like to configure. (You can create multiple profiles to maintain multiple settings using the User Profile Manager in the Communicator Utilities program group).
- Choose Edit from the Netscape menu bar then Preferences.
- From the Category list, click the plus sign next to Mail & Groups.
- Select Identity under Mail & Groups and enter the following:
a. Enter Your name as you wish it to appear.
b. Enter your Email address and the Reply to address if different.
c. Organization and Signature File settings are your preferences. - Select Messages under Mail & Groups and modify the settings as desired (all options here are preferences).
- Select Mail Server under Mail & Groups and enter the following:
a. Mail server user name is your POP Username.
b. Outgoing mail (SMTP) server is the SMTP server.
c. Incoming mail server is your assigned POP server.
d. Under the Mail Server Type choose POP3 (messages and folders are kept locally, on the hard disk). Do not check "Leave Messages" on server after retrieval or your mailbox on the server may become full.
e. Click the button More Options.
f. The Local mail directory should default correctly.
g. It is best not to check the option to Check for mail every xx minutes to prevent password problems.
h. You should uncheck the Remember my mail password option anytime you change your password. Otherwise you can use this feature.
i. Click OK on the More Options window. - Select Groups Server under Mail & Groups and enter the following:
a. Enter the news server in the Discussion groups (news) server field.
b. Leave the port at the default of 119 and do not check Secure.
c. All other options are preferences. - Select Directory under Mail & Groups and modify the settings as desired (all options here are preferences).
- All other options in Netscape Communicator are preferences except the Proxies option. Netscape will default to using a Direct connection to the Internet. Do not use this option, unless you are using one of our intranet only services. If so, contact your SA or local support for the proxy or "socks" server to use. Click OK when completed.
Netscape Navigator 2.x - 3.x Mail and News Preferences Setup
- To get to the Mail and News Preferences click Options under the browser or mail window and choose Mail and News Preferences.
- Appearance Tab: are all your preferences.
- Composition Tab: are all your preferences. There are options to email or save outgoing mail or news items. The save email items are usually defaulted to the sent mail file (i.e. c:\netscape\mail\sent).
- Servers Tab: contains most of the important information including:
a. Outgoing Mail (SMTP) Server- Enter your SMTP server.
b. Incoming Mail (POP3) Server- Enter your POP server.
c. POP3 username- Enter your email username.
d. "Mail Directory" defaults correctly (i.e. c:\netscape\mail).
e. "Maximum Mail Message" defaults to None.
f. "Messages copied from the server" should be "Removed from the Server".
g. "Check for Mail" should be None or a high number (i.e. 99) see troubleshooting for more information.
h. News (NNTP) Server- Enter your News server if applicable.
i. "News RC directory" defaults correctly (i.e. c:\netscape\news).
j. "Maximum messages at a time" is a preference for News. - Identity Tab: contains information on yourself including:
a. Your Name should list your name as you wish it to appear.
b. Your Email should be your email address.
c. Your Reply-to-Address should list your email address again or users will not be able to reply to you properly.
d. Your Organization is a Preference.
e. Signature File is optional. - Organization Tab: are all preferences, but the most important option is "Remember Mail Password". When you attempt to retrieve mail a pop-up will appear asking for a Password which is identical to your login password. If this box is checked Netscape will keep the Password if not, it will prompt again. You need to uncheck this anytime you change your Password or if you are having password problems.
MS Outlook (part of the MS Office installation) Setup
- Start MS Outlook Mail, click Tools, and choose Services.
- Highlight Internet Mail and click on Properties.
- Enter the following information:
a. Type your name as you wish it to appear in the Full name field.
b. Type your email address in the field E-mail address.
c. The Internet Mail server should be your assigned POP server.
d. Account name should be your POP Login Name.
e. Type your password in the Password field.
f. Click on Advanced Options and enter the SMTP server and click OK.
g. Click the Connection tab and choose the DUN connection you are using. Choose PowerSite Internet if using the 32-bit Dialer. - Click OK twice.
- All other settings are preferences. If you were missing any components like Internet mail see the startup and component section.
MS Outlook Express (part of the IE v4.x installation) Setup
- Start the MS Outlook Express program.
- Click Tools on the menu bar and then the Accounts option.
- Click the tab labeled Mail.
- If you do not have any Mail Accounts listed click the Add button and choose Mail. (If you already have your Account listed go to Step #5). The Add wizard settings are as follows:
a. Enter Your name as you would like it to appear in the Name field and click Next.
b. Enter your email address and click Next.
c. Choose POP3 for the option 'My incoming mail server is.' In the field Incoming Mail (POP3 or IMAP) Server enter your POP server and enter your SMTP server in the field Outgoing Mail (SMTP) Server. Click Next.
d. Choose the option Log on using: and enter your POP username in the POP account field and your login Password. Click Next.
e. Type the name you would like for the account name, and click Next.
f. Choose the option for Connect using my phone line and click Next.
g. Choose 'Use an existing dial-up connection' and choose the name of your connection icon that you use to connect to the service. If using the 32-bit Dialer choose PowerSite Internet.
h. Click on Next, then click on Finish.5. To access your mail settings without using the Setup wizard:
a. Highlight your existing account name and choose Properties.
b. Under the General tab enter your Name, Organization, Email address and Reply address in the appropriate field.
c. Click the Servers tab and verify the following:- Enter your SMTP server in the Outgoing Mail (SMTP) field.
- Enter your POP server in the Incoming Mail (POP3) field.
- Choose the option Log on using.
- Enter your POP username in the Account field.
- Enter your password in the Password field.
e. Do not modify the Security tab settings.
f. Click Advanced Options and leave the port numbers at their default (110 for POP and 25 for SMTP). You should not check 'Leave copy of messages on server' or your mailbox may become full.
g. The rest of the Advanced options are preferences so click OK.
Pegasus Mail Setup/Help Information
Pegasus Mail is a Windows based email application (32 and 16 bit versions are available). Please be advised there may be slight differences in the interface of Pegasus versions but the overall concept is nearly identical. Also, there are many help resources available to Pegasus users including extensive help in the application and newsgroups.
Installation Issues with Pegasus Mail
There are a few issues you may have problems with while installing Pegasus Mail and these include:- During the installation Pegasus will ask if you would like to install NetWare Support - select "No NetWare Support."
- After the Installation you will be prompted for information on who will use Pegasus. If you are using Pegasus for only one userid(login name) you should select the Single User option, otherwise select the Multiple User Option.
(After selecting the Multiple User option Pegasus will prompt to you add users and the username you specify will be the username you will use to start Pegasus. Administrators can get back to the Add User panel within Pegasus by choosing Addresses on the Menu Bar then User management). - When using the Multiple User option you must enter the username you would like to use each time you start Pegasus.
- Whenever you use a Username for the first time you must setup Pegasus for that userid(login name). Part of the setup includes setting up the Network connection. It is best to dial in first and then start Pegasus to be sure Pegasus finds your Winsock or TCP/IP file. Choose Yes when Pegasus prompts you to use the TCP/IP connection it found.
- Make sure you ONLY install the 32-bit version of Pegasus if you are using the Windows 32-bit dialer or Dial-Up Networking.
Pegasus Mail Setup
Note: This setup is for v2.54 but most versions are identical.
- Start Pegasus Mail and enter your userid(login name) if using Multiple Users.
(If Pegasus prompts you to set up your TCP/IP connection information go to the section above for installation issues and setup help). - Click File from the Menu Bar and then Network Configuration (if you do not find the Network Configuration option Pegasus did not properly setup the TCP/IP connection. You should read the help within Pegasus or uninstall/reinstall and follow the Installation help above).
- Verify Network Configuration is highlighted in the settings book.
- Type the name of your Pop Server in the POP3 Host field.
- Type your Pop Username(login name) and Password in the User name and Password fields respectively.
- Type your SMTP server in the field SMTP host and click the button Advanced Configuration Options.
- In the From field, type in your Email address and for best results change the TCP/IP timeout value to 90.
Check the option "Use this "From" field to form the SMTP envelop" and "Delete mail from host once successfully retrieved".
Click OK twice. - All other settings in Pegasus are preferences.
There are many available options and features within Pegasus that can be learned and used at your leisure. Make sure to use the Help feature in Pegasus as a reference for any other questions/problems.
MS Internet Mail (part of the IE v3.x installation) Setup
- Start the Internet Mail program.
- If you are starting Internet Mail for the first time a setup wizard will appear.
If you are using a setup wizard continue on if not go to Step #3.
a. Click Next on the welcome panel.
b. Enter Your name as you would like it to appear in the Name field.
c. In the field Incoming Mail (POP3) Server enter your POP server and enter your SMTP server in the field Outgoing Mail (SMTP) Server.
Click Next.
d. Choose the option Login using: and enter your POP username(login name) in the Account field and your login Password.
Click Next.
e. Check 'I use a modem to access my email'.
In the 'Use the following Dial-Up Networking connection:' field, click on the drop-down arrow and choose the name of your connection icon that you use to connect to the service. If using the 32-bit Dialer choose PowerSite Internet
f. Click on Next, then click on Finish. - To access your mail settings without using the Setup wizard:
a. Click Mail on the menu bar and then Options.
b. All options are preferences except the Server and Connection tab.
c. Click the tab Server and enter your Name, Organization and Email Address in the appropriate field.
d. Enter your SMTP server in the Outgoing Mail (SMTP) field.
e. Enter your POP server in the Incoming Mail (POP3) field.
f. Enter your POP username in the POP3 Account field.
g. Enter your password in the Password field.
h. Click Advanced Options and leave the port numbers at their default (110 for POP and 25 for SMTP).
You should not check 'Leave copy of messages on server' or your mailbox may become full.
Enter your email address in the Reply To field.
i. The rest of the Advanced options are preferences so click OK.
j. Click the Connection tab and check 'I use a modem to access my email'.
In the 'Use the following Dial-Up Networking connection:' field, click on the drop-down arrow and choose the name of your connection icon that you use to connect to the service. If using the 32-bit Dialer choose PowerSite Internet.
k. All other settings are options so click OK.
MS Exchange (Inbox of Windows) Setup
Note: This setup is for the original Windows 95 version off the CD-ROM.
- Start the Inbox, click Tools, and choose Services.
- Highlight Internet Mail and click on Properties.
- Enter the following information:
a. Type your name as you wish it to appear in the Full name field.
b. Type your email address in the field E-mail address.
c. The Internet Mail server should be your assigned POP server.
d. Account name should be your POP username (login name).
e. Type your password in the Password field.
f. Click on Advanced Options and enter the SMTP server and click OK.
g. Click the Connection tab and choose the DUN connection you are using. Choose PowerSite Internet if using the 32-bit Dialer. - Click OK twice.
- All other settings are preferences.
